SCSC Relays Saturday, June 24 - logistic details

Dear HVST Swimmers and Families:
Congratulations to those swimmers going to the Relay Finals this Saturday, June 24. This is an entire SCSC League event, therefore, our HVST coaches can only take a select few swimmers per age group based on their number of dips, times and abilities. We are so proud of all our Harbor View swimmers and encourage everyone to continue striving for their personal bests!

WHAT TO PACK:
Your swimmer should have: two towels, goggles, black Sharpie, sunscreen, and a good attitude! Per league bylaws, no tech suits of any kind (whether bonded or sewn seams) are permitted during competition in our league. Navy jammers and briefs (for boys) and navy one-piece swimsuits (for girls) that are in the same style as our HVST suits sold through CAS are permitted. A special HVST Relays cap will be provided to your swimmer at check-in.
PARKING:
Parking is always tricky at Relay Finals because all six teams are participating so please allow yourself enough time to park and get your swimmer(s) there on time for warm ups. There are two large parking lots off of Fairview Road. There is also a sports complex next door and a neighborhood within walking distance.
SWIMMER IDENTIFICATION:
BEFORE you arrive at the pool for check-in and AFTER applying sunscreen, please write your swimmer’s last name, first initial on their right arm and upper back. Please bring a black Sharpie to write your swimmer’s name should it wash off during the event.
SWIMMER DAY OF CHECK-IN:
PLEASE arrive at the meet before 7.30am and head directly to the HVST swimmer check-in table in the HVST area on the blacktop (see attached map).
TEAM/FAMILY AREAS:
There is an HVST dedicated area on the blacktop (see attached map). This will provide plenty of space to set up EZ Ups, blankets, coolers and chairs. Please plan on having your swimmer stay in the team area or close by so the coaches can line up the swimmers. The meet runs quickly so they do NOT have time to look for swimmers out of the team area.
HVST SWIMMER STAGING:
HVST staging for our swimmers will be under an HVST branded EZ Up on the pool deck near the open pool where warm up / cool down takes place.
POOL DECK RACE VIEWING:
No beach chairs, umbrellas or coolers will be allowed within the pool gates. The Pool Deck will be only to watch and take pictures of your swimmers. There is limited bleacher space and for crowd control, parents are asked to move back to the blacktop area once their swimmer has raced.
VOLUNTEER DAY OF CHECK-IN:
PLEASE arrive at the meet by 8am and head directly to the HVST volunteer check-in table in the HVST area on the blacktop (see attached map). There is mandatory training for all first and second half timers and lane writers, outside the computer room (see attached map) at 8.30am.
VOLUNTEER ROLES:
There are still open volunteer roles available and Relays cannot commence without these roles filled. As the largest team in the SCSC league, HVST must represent ourselves as ready and staffed. If you need to fulfill volunteer shifts to meet your family requirement - this will count as your one and only away meet requirement - this is a great opportunity and ensures a smooth meet experience for all. Please note, as stated when you registered, if we are unable to find enough volunteers, additional volunteering at this meet beyond your standard four shifts at our other meets may be required if your child is participating in invitation-only SCSC Relay Finals and/or SCSC Championships.
VOLUNTEER EXPECTATIONS:
When volunteering, please note that you yourself cannot be the caretaker of your children during your shift. All of our volunteer roles require full attention and presence.
SAFETY:
The pool area may only be used by swimmers participating in Relay Finals and is only to be used to swim laps for warm-up and cool down. There will be NO PLAYING or diving in the pool warm up / cool down area.
CONCESSIONS:
Regular concession stand food fare will be available, including burgers, pizza, chips and shaved ice. Bringing snacks and drinks are suggested to avoid long lines. Credit card and cash accepted - not Venmo.
There will be a separate vendor who will be selling commemorative Relay t-shirts.
RIBBONS:
Each swimmer will receive ribbon(s) with their race times in the family folders on the HVST pool deck. Pick up your ribbons later next week!
Enjoy the exciting Relay Finals! Please feel free to contact us or any of our coaches if you have any questions.
We are the Dolphins, the Mighty Mighty Dolphins!
